Open Call and exhibition rules

The rules of the Open Call and art exhibition organised as part of the Carmentalia conference.

1. Organizers of the Open Call and Exhibition

  1. The Organizing Committee of the Carmentalia: The Future of Humanity and Technology conference. It consists of students from the Faculty of Philosophy at Adam Mickiewicz University in Poznań and the Faculty of Information and Communication Technology at Wrocław University of Science and Technology.
  2. The Library of the Ogrody Campus at Adam Mickiewicz University in Poznań.

2. Purpose of the Open Call and Exhibition

The purpose of the Open Call is to provide a space for artistic reflection on the relationship between humans and technology. Artworks submitted to the Open Call and selected by the Organizers will become part of an art exhibition organized as an accompanying event to the Carmentalia: The Future of Humanity and Technology conference. The exhibition is being created to enrich the academic event with artworks related to its theme. It is intended to be a space for artists representing various fields and techniques to artistically interpret the conference theme. The exhibition aims to serve as a place for dialogue between art, the future, technology, and humanity.

3. Submission Period for the Open Call

Interested individuals may submit their artworks as part of the Open Call from August 17, 2026, to October 16, 2026. After this period, a committee consisting of the Organizers will select the artworks to be displayed during the art exhibition.

4. Open Call - Artwork Submission

  1. Artwork submissions are conducted in the form of an Open Call. Any person meeting the conditions of participation may submit their artwork to take part in the exhibition.
  2. Artwork submissions are made online by filling out a form and attaching a photo, scan, or other electronic representation of the artwork.
  3. The artwork can take any form chosen by the artist - from a painting to a sculpture, a song, or a poem. The Organizers will provide a space to interact with the artwork regardless of its format.
  4. Each person participating in the Open Call has the opportunity to submit a maximum of three artworks.
  5. In the case of 3D models, participants are required to send renders of at least two shots (including at least one perspective view) in JPG or PNG format. A link to an interactive preview of the model on the Sketchfab platform (https://sketchfab.com/) must also be provided. The model must be shared in public mode or as "unlisted" with unconditional access for those possessing the link.
  6. For artworks intended for spatial viewing, such as a costume, sculpture, installation, etc., please send photos showing the artwork from various angles.
  7. Artwork submissions in the form of animation are accepted exclusively in digital format. The author should upload their work to YouTube and then send the Organizer an active link to the material. The video on YouTube must be set to "Unlisted" (visible only to those with the link). The recording time should not exceed one minute.
  8. For structures requiring assembly, the author must describe in the form how much time they anticipate for assembling the artwork at the designated location and how the process will proceed.
  9. Artists who have submitted applications will be informed of the committee's decision and whether their artwork has been accepted for the exhibition by November 16, 2026, via the email address provided during submission.
  10. Following the decision to accept an artwork for the exhibition, the artist should deliver the original piece to the Ogrody Campus of Adam Mickiewicz University in Poznań on a date that will be arranged with the participants via email.

5. Conditions of Participation

  1. The artwork submitted to the exhibition must be an artistic interpretation of the theme of the conference and exhibition- Carmentalia: The Future of Humanity and Technology .
  2. The Open Call is intended for students of Universities.
  3. The condition for the artwork to be included in the exhibition is submitting the application by the deadline and its subsequent approval by the committee responsible for selecting the artworks.

6. Time and Place of the Exhibition

The exhibition will begin on December 2, 2026, and will last until the day of the conference - January 15, 2027. It will take place in the exhibition space located within the Library of the Ogrody Campus at Adam Mickiewicz University in Poznań, at 89c Szamarzewskiego Street in Poznań. A virtual version of the physical exhibition will run simultaneously.

7. Information About the Exhibition

  1. The art exhibition will simultaneously take place in a virtual format. By submitting their work, authors consent to the creation of its digital version, which will be exhibited as part of the online exhibition.
  2. During the exhibition, the artworks will be located on the premises of Adam Mickiewicz University in Poznań and will be returned to the artists after the exhibition ends.
  3. The curatorial concept of the exhibition envisions creating a comprehensive exhibition space covering an outdoor, stationary, and digital zone. Artworks submitted to the Open Call should fit into one of the spaces listed in the "Artworks" section of these regulations. The descriptions of the meaning of the individual exhibition spaces should be treated as a curatorial suggestion rather than a strict thematic requirement. However, participants are asked to consider the conditions under which the artworks will be exhibited in each zone and choose the one that best suits their work.
  4. International students studying at universities outside of Poland will have the opportunity to submit artworks to the Open Call; however, their works will only be displayed in the digital gallery on the website, and will be made available in the physical gallery on the day of the conference, December 11, via QR codes.

8. Artworks

Works created using various techniques can be presented in one of the exhibition zones. The exhibition is intended to provide a space for a broadly understood dialogue between multiple artistic media. Each zone is described in more detail on the conference website in the exhibition and open call section: https://carmentalia.info/. The artworks do not have to perfectly fit the concept of the chosen zone. Their descriptions are meant to serve as a source of inspiration for the participants.

9. Selection of Artworks

  1. Submissions will be evaluated by the Organizers in terms of artistic quality and exhibition possibilities.
  2. The Organizers reserve the right to select artworks and adjust the method of exhibition to spatial conditions.
  3. The Organizers reserve the right to reject an artwork without providing a reason for this decision.

10. Copyrights

  1. The person submitting the artwork declares that they are the author of the work and hold full rights to present it.
  2. Submitting an artwork is equivalent to consenting to its free display as part of the exhibition, as well as the use of documentation of the work (e.g., photos) in promotional materials for the Carmentalia: The Future of Humanity and Technology event, and its publication in the exhibition catalog.

11. Miscellaneous

  1. The Open Call does not provide financial remuneration for artists whose works will be exhibited.
  2. The Organizers guarantee the issuance of a document confirming the artist's participation in the exhibition, signed by the decanal authorities of the Faculty of Philosophy at Adam Mickiewicz University in Poznań, the head of the Library of the Ogrody Campus at Adam Mickiewicz University in Poznań, and the Organizers of the Carmentalia: The Future of Humanity and Technology conference.
  3. The Organizers are not responsible for any damage to the artworks during the exhibition.
