How the personal data of Carmentalia participants is processed, under article 13 of the GDPR.

Information on the processing of personal data for participants Carmentalia: The Future of Humanity and Technology organised on 11th of December 2026 at the Faculty of Philosophy of Adam Mickiewicz University in Poznań (Ogrody Campus; Szamarzewskiego 89c Street, 60-568 Poznań).

Pursuant to Article 13(1) and (2) of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation – GDPR), we inform you that:

  1. The administrators (co-administrators) of your personal data are the Philosophy Students Association at the Adam Mickiewicz University in Poznań (Szamarzewski 89C Street, 60-568) and Scientific Students Association Axion at the Wrocław University of Science and Technology (Plac Grunwaldzki 11a Street, 50-377).
  2. The personal data of participants in the conference Carmentalia: The Future of Humanity and Technology organised on 11th of December 2026 at the Faculty of Philosophy of Adam Mickiewicz University in Poznań (Ogrody Campus; Szamarzewskiego 89c Street, 60-568 Poznań), hereinafter referred to as The Conference C:TFoHaT including the participant's: first name, last name, degree, represented institution, email address and image will be processed:
    1. pursuant to Article 6(1)(a) of the GDPR, on the basis of the participant's consent to the processing of personal data;
    2. pursuant to Article 6(1)(c) of the GDPR, where processing is necessary for compliance with a legal obligation to which the administrators are subject, in connection with the organisation of The Conference C:TFoHaT and the archiving of documents in accordance with the Polish Act of 14 July 1983 on the National Archival Resources and Archives, for the purposes of participant registration, administrative support, and document archiving;
    3. pursuant to Article 6(1)(e) of the GDPR, where processing is necessary for the performance of a task carried out in the public interest;
    4. pursuant to Article 6(1)(f) of the GDPR, where processing is necessary for the purposes of the legitimate interests pursued by the administrators, in particular for evaluating the quality of The Conference C:TFoHaT, compiling statistical information, and investigating legal claims.
  3. For documentation purposes, photographs and video recordings will be taken during The Conference C:TFoHaT and may be published on the event’s website and social media. The participant's image will be processed on the basis of consent pursuant to Article 6(1)(a) of the GDPR.
  4. The Conference C:TFoHaT will be broadcasted via Teams. The participant's image will be processed on the basis of consent pursuant to Article 6(1)(a) of the GDPR.
  5. The participants’ personal data are collected through registration form.
  6. For the purposes described in Sections 2 and 3 above, the participant's personal data may be processed by:
    1. authorised employees of the administrator involved in organising The Conference C:TFoHaT;
    2. an unrestricted audience in connection with the participant's image appearing in the live stream, recordings, and photographs from The Conference C:TFoHaT and making such materials publicly available, including via the Internet, without territorial or time limitations.
  7. Personal data will be processed for the period necessary to organise, conduct, financially settle, and archive The Conference C:TFoHaT in accordance with applicable legal requirements. Personal data consisting of the participant's name, surname, and email address, processed on the basis of consent for future organisational and academic communication will be retained until consent is withdrawn or until the organisers cease organising academic conferences.
  8. The publication of the participant's image may occur repeatedly and without any time limitation.
  9. Each participant has the right to:
    1. withdraw consent at any time where processing is based on consent, without affecting the lawfulness of processing carried out before the withdrawal of consent;
    2. access their personal data, including the right to obtain a copy of such data;
    3. request the rectification of an inaccurate personal data;
    4. request the erasure of a personal data processed on the basis of consent;
    5. request the restriction of processing the personal data;
    6. object to the processing of personal data;
    7. lodge a complaint with the President of the Personal Data Protection Office (Urząd Ochrony Danych Osobowych, Stawki 2 Street, 00-193 Warszawa ) if they believe that the processing of their personal data violates the GDPR.
  10. Providing personal data is voluntary but necessary to submit The Conference C:TFoHaT registration form. Failure in providing the required data will make it impossible to process the registration. Providing false information may result in liability under applicable law.
  11. With regard to processing based on consent, each participant has the right to withdraw that consent at any time. Withdrawal of consent will not affect the lawfulness of processing carried out on the basis of consent before its withdrawal.
  12. Consent may be withdrawn by sending a written declaration of withdrawal to the administrators’ correspondence address or by email skfuam@amu.edu.pl. The subject of the email should be "WITHDRAWAL OF CONSENT".
  13. Personal data will not be subject to profiling or automated decision-making.
  14. The administrators do not intend to transfer personal data to third countries (i.e. countries outside the European Economic Area) or to international organisations. However, due to the nature and international operation of social media platforms (including Instagram, Facebook, and YouTube), personal data may potentially be transferred outside the EEA regardless of the administrators. Such transfers are based on the European Commission's Standard Contractual Clauses (SCCs) or, where applicable to transfers to the United States, on Commission Implementing Decision (EU) 2023/1795 of 10 July 2023 on the adequate level of protection of personal data under the EU–US Data Privacy Framework (DPF).
  15. Any questions with a concern about the processing of personal data may be addressed to the Data Protection Officer (DPO) by email at iod@amu.edu.pl. The Data Protection Officer at Adam Mickiewicz University in Poznań is Dr Justyna Baksalary.
  16. The Data Protection Officer should be contacted only in matters related to the processing of personal data by the administrators, including the exercise of rights arising from GDPR.
